Introduction

Welcome to the Code of Conduct for male students undertaking an apprenticeship program in Japan. We understand that you may be traveling to a country that is very different from your home country, with its own unique culture, customs, and values. It is important to note that Japan places a strong emphasis on discipline, professionalism, and respect for others, which may require a shift in mindset and behavior.

As an apprentice, your primary goal should be to learn and acquire the necessary skills and knowledge to succeed in your career. This apprenticeship program is an incredible opportunity for you to develop your skills, gain a deeper understanding of the Japanese culture and society, and make meaningful contributions to the host company and the local community.

We acknowledge that the Code of Conduct may appear to be very constraining at first glance. However, we assure you that the adaptation will be fast, and the takeaway will be huge. By adhering to this Code of Conduct, you will demonstrate your commitment to professionalism, discipline, and respect for the Japanese culture and society.

We encourage you to approach this experience with an open mind and a willingness to learn and adapt. Product House Academy Code of Conduct for Students Undertaking Apprenticeship Program in Japan

At Product House Academy, we believe in fostering a culture of respect, discipline, and professionalism. As our students embark on their apprenticeship program in Japan, we want to ensure that they understand and abide by the cultural norms and rules of the host country. To achieve this, we have developed a comprehensive Code of Conduct that will guide the behavior of our students throughout their stay in Japan. This Code of Conduct covers various aspects of their personal and professional life and will ensure that our students conduct themselves in an appropriate and professional manner.

General Conduct

  1. Our students are expected to behave in a respectful and courteous manner towards their fellow apprentices, Japanese citizens, and all staff and faculty members of the Academy. They must uphold the Academy’s reputation and values at all times.
  2. Our students must follow all the rules and regulations set by the host company and their assigned mentors. They must respect the host company’s property, equipment, and resources and use them only for the purpose intended.
  3. Our students must adhere to Japanese laws, regulations, and cultural norms. They must be aware of the cultural differences between their home country and Japan and must show sensitivity and respect towards the Japanese way of life.
  4. Our students must ensure that their behavior does not offend or harm any person, group, or community, whether intentionally or unintentionally.

Professional Conduct

  1. Our students are expected to conduct themselves in a professional manner at all times. They must be punctual, well-groomed, and dressed appropriately for the occasion.
  2. Our students must maintain high standards of work ethics, integrity, and honesty. They must not engage in any activity that may compromise their professional or personal integrity.
  3. Our students must maintain confidentiality about any proprietary information that they may come across during their apprenticeship. They must not disclose any confidential information to anyone, without the express permission of their mentor.
  4. Our students must respect the hierarchy and authority of their assigned mentors and supervisors. They must follow their instructions and seek guidance whenever necessary.
  5. Our students must show initiative, creativity, and a willingness to learn and adapt to new situations. They must take feedback constructively and use it to improve their skills and knowledge.

Dress Code

  1. Our students must follow the host company’s dress code policies and procedures, including appropriate attire for work and formal events.
  2. Our students must be mindful of the cultural norms related to dressing and must avoid any attire that may be considered inappropriate or offensive.
  3. Our students must be well-groomed and maintain good hygiene and cleanliness, including regular bathing and washing of clothes.

Bullying and Harassment

  1. Our students must not engage in any form of bullying, harassment, or discrimination, whether physical or verbal, towards anyone.
  2. Our students must report any incident of bullying, harassment, or discrimination that they may witness or experience, to their assigned mentor or the Academy’s designated authority.
  3. Our students must not tolerate any form of bullying, harassment, or discrimination towards anyone, and must support those who have been victimized.

Alcohol and Substance Abuse

  1. Our students must not consume alcohol or any controlled substances during work hours, or during any official Academy event.
  2. Our students must follow Japanese laws and regulations related to alcohol and controlled substances. They must be aware that Japan has strict laws related to drug abuse, and any violation can lead to severe consequences, including imprisonment and deportation.
  3. Our students must maintain sobriety and alertness during work hours and any official Academy event. They must not compromise their safety, or the safety of others, due to alcohol or substance abuse.

Health and Safety

  1. Our students must prioritize their health and safety and take measures to prevent illness and injury, including following all safety protocols and using protective equipment where necessary.
  2. Our students must inform their mentor immediately in case of any injury, illness, or other health-related issues that may affect their work or their stay in Japan.
  3. Our students must take measures to maintain good hygiene and cleanliness, including frequent hand washing, covering their mouth when coughing or sneezing, and disposing of waste appropriately.

Communication

  1. Our students must maintain clear and professional communication with their assigned mentors, host company staff, and other Academy members. They must use respectful language and tone, avoid interrupting others, and actively listen to understand others’ perspectives.
  2. Our students must report any issue, concern, or feedback related to their work, living situation, or any other matter that affects their experience in Japan, to their assigned mentor or the Academy’s designated authority.

Social Media and Technology Use

  1. Our students must use social media and technology responsibly and professionally, taking care not to post any inappropriate or offensive content that may damage their or the Academy’s reputation.
  2. Our students must respect the privacy and confidentiality of others and must not share any personal or sensitive information without their consent.
  3. Our students must use technology and online resources to enhance their learning and work experience and must avoid excessive or unnecessary use that may affect their productivity or distract them from their work.

Disciplinary Actions

  1. Any violation of the Code of Conduct may lead to disciplinary action, including warnings, suspension, or termination of the apprenticeship program, depending on the severity of the offense.
  2. The Academy reserves the right to investigate any violation of the Code of Conduct and to take appropriate action, including reporting to the host company or local authorities if necessary.
  3. Our students have the right to appeal any disciplinary action taken against them, and the Academy will provide a fair and transparent process for such appeals.

Cultural Sensitivity

  1. Our students must respect and appreciate the Japanese culture and customs, including their traditions, religion, and social norms.
  2. Our students must avoid behavior or actions that may be considered disrespectful or offensive in the Japanese culture, including loud or disruptive behavior, public displays of affection, or revealing clothing.
  3. Our students must make an effort to learn about the Japanese culture and customs, including their language, history, and values, and use this knowledge to interact with their colleagues, mentors, and other Japanese citizens in a respectful and meaningful way.

Environmental Responsibility

  1. Our students must be aware of the importance of environmental sustainability and take measures to reduce their carbon footprint and preserve the natural resources in Japan.
  2. Our students must follow the host company’s environmental policies and procedures, including waste management, recycling, and energy conservation.
  3. Our students must be mindful of their impact on the environment and take measures to reduce waste and conserve resources, including using public transportation, avoiding single-use plastic products, and turning off lights and electronic devices when not in use.

Emergency Situations

  1. Our students must be prepared to handle emergency situations, including natural disasters, accidents, or medical emergencies.
  2. Our students must follow the host company’s emergency protocols and procedures and seek guidance from their assigned mentors or the Academy’s designated authority if necessary.
  3. Our students must maintain a level of preparedness and have emergency supplies and communication devices, such as a cell phone or a portable charger, at all times.

Travel and Leisure Activities

  1. Our students must follow the host company’s policies and procedures regarding travel and leisure activities, including obtaining permission and adhering to safety guidelines.
  2. Our students must respect the local laws and customs related to travel and leisure activities, including alcohol consumption, smoking, and public behavior.
  3. Our students must be responsible and safe while participating in any travel or leisure activities and must take measures to prevent accidents or injuries.
  4. Our students must be respectful of their fellow apprentices’ and the local community’s need for rest and quiet and must avoid excessive noise or disturbance, especially during late hours.

Academic and Professional Integrity

  1. Our students must uphold the highest standards of academic and professional integrity and must not engage in any form of cheating, plagiarism, or academic dishonesty.
  2. Our students must respect the intellectual property rights of others, including copyrights, patents, and trademarks, and must not use any unauthorized material or resources.
  3. Our students must conduct their work and research with honesty, accuracy, and diligence, and must take measures to avoid any conflict of interest or bias.
  4. Our students must report any academic or professional misconduct that they may witness or experience, to their assigned mentor or the Academy’s designated authority.

Social Responsibility

  1. Our students must be aware of their social responsibility and must take measures to contribute positively to the local community and society.
  2. Our students must seek opportunities to volunteer, participate in community service, or engage in other socially responsible activities that benefit the host country and the global community.
  3. Our students must be respectful of the local culture and customs, including their values and beliefs, and must avoid behavior or actions that may be considered disrespectful or offensive.

Conflict Resolution

  1. Our students must strive to resolve any conflicts or disagreements that may arise during their apprenticeship program in a respectful and constructive manner.
  2. Our students must use effective communication skills, active listening, and empathy to understand others’ perspectives and find mutually acceptable solutions.
  3. Our students must seek guidance from their assigned mentor or the Academy’s designated authority if they are unable to resolve a conflict on their own.
  4. Our students must avoid any form of retaliation or reprisal towards those involved in a conflict or those who report a conflict.

Reporting

  1. Our students must report any violation of the Code of Conduct to their assigned mentor or the Academy’s designated authority.
  2. Our students must report any incident of harassment, discrimination, or misconduct that they may witness or experience, to their assigned mentor or the Academy’s designated authority.
  3. Our students must cooperate with any investigation related to a violation of the Code of Conduct or an incident of harassment, discrimination, or misconduct.

Privacy and Security

  1. Our students must respect the privacy and security of others, including their colleagues, mentors, and Japanese citizens.
  2. Our students must not access, share, or use any personal or sensitive information without the express permission of the person or organization.
  3. Our students must follow the host company’s security protocols and procedures, including protecting passwords and sensitive information, and reporting any security breaches or incidents.
  4. Our students must use technology and online resources responsibly and must avoid any activity that may compromise the security or privacy of others.

Emergency Contact

  1. Our students must provide emergency contact information to their assigned mentor or the Academy’s designated authority.
  2. Our students must inform their emergency contact of their travel itinerary, their host company’s contact information, and any other relevant details related to their apprenticeship program.
  3. Our students must update their emergency contact information in case of any changes or updates.
